At The Company, we know trust is one of the easiest things to lose and we also know that you placing that in us is the utmost compliment. So we want to make sure you would never have reason to regret it. That is why we take your IP and your Personal Data extremely seriously and we make sure the systems we use have adhered to industry standards of at least ISO27001.
All team members follow a strict on-boarding process detailing customer data protection, especially regarding Personal Identifiable Information (PII) and security principles. Access to all customer data is logged and audited and we are able to track any changes by user, time and date. Our premises are secured via access control pass and locks.
All laptops and computer equipment used are secured by individually assigned account passwords and disk encryption. These need to be of an adequate standard and require both capital and lowercase letters, numerics and at least one special symbol. All laptops and computer equipment also run up to date virus scanning software.
Information trusted to us will also never be passed on or used by third parties unless in strict requirement to fulfil the contract obligations and only after we have implemented thorough background checks and reviews of their data policies.
Through the strict adherence of this policy and the use of companies like Salesforce, Google and Xero to hold the information we have never had a breach or issue.
The Company minimises the use, collection, and retention of PII to what is strictly necessary to accomplish the business purpose. We only request and retain PII if the PII is required for the event or if the customer has approved and requested we retain their information.
What is personal information?
Personal information is information which relates to a living individual who can be identified from that information, or from that information and other information in that person’s possession.
How do we collect personal information
Generally we will collect personal information directly from you or from someone providing it on your behalf.
Generally this information will be collected when you register to attend a conference, exhibition or seminar or when you request information from us.
In some cases, it may be necessary for us to collect personal information about you from a third party. This includes where you have registered to attend a conference, exhibition or seminar with the third party. Where this occurs, we will assume that you have consented to your personal information being collected by us and to us handling it in accordance with this Policy. You should let us know immediately if you become aware that personal information has been provided to us by another person without your consent. We will immediately disclose information held and allow any changes or the full deletion of this material under these circumstances.
How do we use personal information?
The primary purpose for which we collect your personal information is to facilitate the provision of goods and services during and after your attendance at a conference, exhibition or seminar. The secondary purpose for which we collect your personal information is for:
- Regulatory reporting and compliance where that is integral to your attendance at the conference, exhibition or seminar.
- Developing improving and marketing our products and services to conference, seminar and exhibitions organisers
- Undertaking research and gauging customer engagement and participation in the events occurring at a conference, exhibition or seminar.
- Analyse trends in attendance at conferences, exhibitions or seminars
- Other purposes are required by law (eg prevent a threat to life, health or safety)
We are only allowed to store your personal information for as long as necessary having regard to the purpose for which it was collected or a related or ancillary purpose. We may therefore delete or destroy your personal information after a reasonable time and if you have not used our services for some time, you may have to re- enter or re- supply your personal information to us so that we can continue to provide you with our services or the services of a third party or organiser.
Is personal information disclosed to third parties?
Only if it is absolutely necessary. You also consent to the personal information about you which we collect or receive being processed, transferred or disclosed by us in the following circumstances:
In each of the circumstances set out in the previous section ‘How do we use personal information?’ As permitted or required by law To third party suppliers of IT based solutions that assist us in providing services to you To third parties for the purpose of analysing trends in participation in conferences, seminars and exhibitions. Other than the above, we will not disclose your personal information without your consent unless we reasonably believe that disclosure is necessary to prevent a threat to life, health or safety or for certain actions to be undertaken by an enforcement body (e.g prevention or punishment of criminal offences), disclosure is authorised or required by law or disclosure is otherwise permitted by applicable privacy laws.
Transborder Data Flows
When you provide or otherwise allow us to collect your personal information, you also consent to your personal information being disclosed by us to overseas recipients if it is necessary to do so to provide the services requested to you. Where we disclose your personal information to an overseas recipient, you agree that we will not be required to ensure that the recipient complies with Australian privacy laws or otherwise be accountable for how the recipient handles your personal information. If you have any objections to your personal information being disclosed to an overseas recipient, please let us know.
Information Tracking
We use Cookies, Analytics, Web Beacons/ Gifs and 3rd Party Tracking to assist us to provide a better service to you and to future customers. Cookies save data about individual visitors to our website such as the visitor’s name and user name, the pages the visitor visited and the preferences chosen. When the visitor revisits the web site we may recognise the visitor by the cookie.

Access to and correction of Personal Information Subject to any exceptions set out in any applicable privacy laws, we invite you to access any personal information we hold about you and where that information is not accurate, complete, up to date or relevant, you may ask us to correct that personal information within a reasonable time. We reserve the right to confirm the identity of the person seeking access or correction to the personal information.If we deny access or correction, we will provide you with the reason for such denial. You must always provide accurate information and you agree to update it whenever necessary. You also agree that the personal information submitted to us is correct.
